Expanding the stationery footprint
Growth is an exciting phase for any business, but opening a new branch adds immediate pressure to existing infrastructure. When Ustat opened their second location in Pretoria, their internal communication requirements evolved. They needed a system that could handle increased call volumes and manage traffic dynamically between two sites, ensuring that customer queries reached available staff regardless of their physical location.
The transition to Yeastar P Series
To support their expansion, we migrated Ustat to the Yeastar P Series Cloud PBX. The priority was not just installing the platform, but ensuring the transition was invisible to their customers.
We managed the entire number porting process. Once the necessary documentation is submitted, the porting approval process typically takes one week. We then schedule the migration for 5:00 p.m. to eliminate impact on business hours. Our team completes the configuration on-site during the day, keeping the legacy handsets active until the final switch-over in the evening. By the time staff arrive the next morning, the new system is fully operational.
A proactive approach to support
A smooth technical migration is only half the battle. To ensure the Ustat team felt confident with their new tools, we provided on-site support the morning following the transition. We walked the staff through the system’s features, including call transfers and pickup functions, ensuring they were comfortable with the new workflow from day one.
- Seamless after-hours number porting to ensure zero business downtime
- Configurable overflow settings to manage high call volumes during busy periods
- Hands-on staff training to ensure immediate proficiency with system features
The takeaway for buyers comparing providers
The success of a new phone system is measured by how well it supports your daily operations from day one. When evaluating providers, focus on their migration methodology—do they have a process that protects your business from downtime? Ustat’s experience demonstrates that with the right planning, a system upgrade can be a seamless move that empowers growth rather than causing a distraction.
